Microsoft Teams Phone refers to the capability of making and receiving calls in Microsoft Teams, moving the functionality off your desk phone onto your computer.

Teams' users can already make video and audio calls to each other, but the Teams Phone component allows you to make and receive calls to and from external landlines and mobile phones (including international calls).

UQ is currently transitioning from desk phones to Teams Phone, with the migration underway at the St Lucia campus . This transition will follow a phased, building-by-building approach. 

The Teams Phone Project Team will notify senior leaders when their building is scheduled to transition and will provide tailored support to staff during the upgrade. Once staff have migrated to Teams Phone, any desk phones in the building will be removed and decommissioned. 

Staff who transition to Teams Phone will keep the same number and extension as their desk phone.

Migrating to Teams Phone, UQ will have a complete telephony solution, allowing you to stay connected using your laptop, tablet, mobile or desk phone from anywhere.

This wider migration follows a successful 2022 trial, where a group of UQ staff transitioned from desk phones to Teams Phone.

How to

How do I make external calls using Teams Phone?

Once onboarded to Teams Phone you will see a dial pad in the Calls section. Please see the knowledge article for information about how to use the dial pad.

How do I block phone numbers in Teams Phone?

You can block numbers by right clicking on them in Calls and selecting Block. You can manage blocked numbers in call settings. Please see the knowledge article for information about how to manage your call settings.

What happens to my phone number during the migration?

The existing voicemail system is being decommissioned and you will lose access to it. Voicemails emailed to you will still be in your inbox.

    How do I ensure my iPhone or iPad rings when I receive a Teams Phone call?

    1. On your iPhone or iPad, open 'Settings'.
    2. Select 'Notifications'.
    3. Scroll down the list of apps until you find 'Teams', then select it.
    4. Ensure 'Allow Notifications' is enabled, then you can fine tune how you would like Teams to notify you.

    Technical issues

    I'm having problems with Teams Phone notifications. What can I do?

    Why hasn't the dial pad appeared?

    First confirm that you have an active licence for Teams Phone. If you do not have a licence, the dial pad will not appear. If you do have a Teams Phone licence, and the dial pad is missing on your desktop or mobile device, try restarting your device.

    What do I do if I don't have a current UQ extension number?

    The project team will allocate you with a new UQ extension number.

    What do I do if I'm in a call pick up group?

    Please contact the team to discuss your requirements so we can set up the solution that meets the needs of your call pick up group.

     

    Provisioning

    Is this going to change how my Organisational Unit is charged for calls?

    When we migrate staff members of an Organisational Unit, call billing charges will pause. This will remain the status quo until the matter goes to Steering Committee for a decision.

    Can I migrate to Teams Phone if I make many calls - internal, external and international?

    By default, you will be migrated to Teams Phone with all call types other than international. If you require international, please seek approval from your manager and forward the approval to TeamsPhone@its.uq.edu.au.

    What should I do with my desk phone now that I'm using Teams Phone?

    What if I don't want my NEC desk phone, and don't want the UQ extension number?

    I never use my desk phone anyway. Is there any point in getting Teams Phone?

    Teams Phone technology supports hybrid working from anywhere, anytime. Importantly, it facilitates work and home-life balance, keeping these areas separate.

     

    General information

    Will Teams Phone change how Teams works?

    Adding Teams Phone does not change how Teams works. It just adds phone capabilities. The main thing you’ll see is an interface with all your contacts more easily accessible, and the ability to use a dial pad to call an external phone number.

    Why would I want to use Teams Phone on my mobile device?

    Calls that come into Teams Phone can be answered within Teams on your desktop, or Teams on your mobile phone. You can switch between the two. It also makes it easier to manage your address books, contacts, and call history, while staying in the flow of working in Teams. Finally, it’s also a great way to keep your work and private life separate. 

    Can I access Teams Phone from multiple devices?

    Yes. Teams is available on Windows, macOS, iOS and android. Please see the Teams download page for installing Teams on non-UQ devices.

    Is there a limit to the number of participants I can add to a Teams call?

    Teams has a limit of 20 people in a call, and 1000 people in a meeting.

    How do I access and manage call recordings in Teams Phone?

    Call recordings in Teams are turned off UQ wide. Teams meetings can be recorded. Please see the knowledge article about how to record Teams meetings.
