Microsoft Teams Phone refers to the capability of making and receiving calls in Microsoft Teams, moving the functionality of your desk phone onto your computer.

Teams users can already make video and audio calls to each other, but the Teams Phone component allows you to make and receive calls to and from landlines and mobile phones.

By migrating the functionality of your desk phone to Teams Phone, UQ will have a complete telephony solution so you can stay connected using your laptop, tablet, mobile or desk phone from anywhere.

In 2022, a group of staff from different UQ departments trialled Teams Phone and was able to demonstrate it was fit for purpose.

In an increasingly complex world, sometimes you just need to make a simple phone call. Using Microsoft Teams Calling Plans, Direct Routing or Operator Connect, you can call virtually any number in the world right from your Teams app.  Simply enter the number and place the call.

And of course you can use Teams to receive incoming calls, whether it's an audio call from a traditional phone number or a voice or video call over the internet with another Teams colleague.

And with built in spam call notifications, Teams helps you save time by giving you the option to decline calls that might disturb your workflow.

Managing calls

When using Teams to make or receive calls from standard phone numbers, Teams gives you the option to enable call transcription. This can help users that may be in a noisy environment or have difficulty hearing.

It also allows Teams users to search the transcript for specific text after the call.

To transfer an active call between devices, for example from a desktop to a mobile device or from a mobile device to a laptop, simply launch the Teams app on the device you want to transfer to.

You will automatically receive a prompt to join the call, tap join, choose the option for transfer to this device and you're done.

While you're on a call in Teams, you might receive a call from another person and decide you want to merge the new call with the call you're already on.

Select more actions from the call controls and choose merge calls. Click the merge button to confirm and both calls will be joined together.

Voicemail

Microsoft Teams phone includes voicemail with many customisable features. You can access voicemail options from the Calls tab in your Teams settings. Here, you can record a personal greeting or use the text-to-speech greeting option.

You can also configure advanced call answer rules. For example, you can give callers the option of being transferred to a colleague or the operator rather than leaving a voicemail.

And using built-in integration with Outlook, you can set a custom out-of-office greeting message whenever you have an Outlook auto-reply configured.

Received voicemail messages can be accessed from the Calls tab in Teams. Voicemails are automatically converted to readable text, and voicemail audio can easily be played back. And when you're ready, you can initiate a chat or return a call without ever leaving Teams.
