UniFi is our university-wide financial processing system. You must use UniFi to process and record financial data. This enables monitoring, administration and reporting (via the UQ Reportal) on core financial information to support budgetary management and control.

Contact Finance Client Support Services to discuss enhancements, integration or functionality requirements for UniFi. Technical enhancements are prioritised and planned each quarter.

Default access for all staff

All staff members with a UQ username have access to create requisitions and international travel requests in UniFi.

There’s no training required for default access, but we strongly recommend you complete any relevant UniFi online training before you use the system.

Additional access

If you need additional access for a particular UniFi role or task (for example, as a buyer or purchasing officer, budget holder, or financial delegate), you must complete any required training and apply for access.

Step 1: Talk to your Finance Professional Services team

Talk to your Finance Professional Services team to determine the specific access you need for your role or the tasks you need to complete.

Step 2: Complete the training

If training is required for the tasks or role you need in UniFi, you must:

  • complete the training
  • achieve the minimum required score in the Training Success Meter (TSM) for each required course to measure your understanding of processes and ability to complete tasks in UniFi.

For some tasks or roles, training isn’t required, but we strongly recommend you still complete any relevant UniFi online training.

  1. Check the UniFi roles and security training to find out what training is required for the tasks you need to be able to do, or check the UniFi access form (PDF, 1.2MB) for the training required for the role you’re applying for.
  2. If training is required, complete each course through the UniFi online training.
  3. Enrol to access the Training Success Meters (TSMs). You only need to do this once to get access to all TSMs. Once you're enrolled, you can can go straight to the TSMs or use the the link under 'Training courses' on Learn.UQ.
  4. When you’re ready, complete the required TSMs. When you achieve the minimum score of 90 out of 100, contact Finance Client Support Services to let them know.

Step 3: Apply for access

  1. Download and save the UniFi access form (PDF, 1.2MB), and complete it electronically by following the instructions in the guide to the UniFi access form (PDF, 647KB).
  2. Print and sign the form.
  3. Send it to your Finance Professional Services team Finance Manager for authorisation.
  4. Scan the completed form and email it to Finance Client Support Services.

Step 4: Receive your access

Your access will be processed as soon as possible if you’ve:

  • successfully completed the relevant Training Success Meters
  • correctly submitted the UniFi access application form.

Changing or removing access

Complete and submit a UniFi access form (PDF, 1.2MB) by following the instructions in the guide to the UniFi access form (PDF, 647KB).

If you’re applying to change your access, make sure you:

  • talk to your finance team about the access you need for your role
  • complete any training required for the new access, including any related Training Success Meters.

Financial delegation

You can apply for financial delegation using the same UniFi access form.

  • procedures for applying for financial delegation.

Budget holders

You can apply for or change operational unit budget holder access using the same UniFi access form.

Complete and submit a UniFi access form (PDF, 1.2MB) by following the instructions in the guide to the UniFi access form (PDF, 647KB).

If more than 3 budget holder changes are required, attach the additional budget holder changes form (PDF, 841KB).
