Managing research project funds with MyBalance
MyBalance is a web-based financial reporting tool for UQ researchers and their Management Accountants.
You can use MyBalance to manage your research funds and get a clear, consistent view of your financial position across all of your grants and accounts.
For researchers
MyBalance allows you to:
- view your grant balance at any time
- track which expenditure categories are allowed for each grant
- sort through financial information down to transaction level.
Using MyBalance as a researcher
You can use MyBalance to work with your local Management Accountant to plan how to spend your funds and keep track of how well you’re keeping to that plan using a simple interface.
If you have collaborators in different units, your Management Accountant can give them access to a single view of your project so you can all see the most up-to-date information at the same time.
MyBalance training for researchers
You can complete training for MyBalance through Workday. Post-award troubleshooting guides for NHMRC, ARC Discover and ARC Linkage grants are available from the Office of Sponsored Research.
How MyBalance shows activity
MyBalance shows projects that have had activity this year or last year. The main view may show zero activity but the Previous Years and Whole of Life views will contain actual data.
Actual income and expenses are loaded into MyBalance each night, giving an up to date and consistent view of project finances. If your project has had no previous activity, the export process will happen overnight.
Updating and changing MyBalance
If you don't have access or need changes made, such as removing projects you no longer want to see, contact your Finance Professional Services team to get help from your Management Accountant.
For Management Accountants
As a Management Accountant, you are a MyBalance project administrator, preparing data and setting up reporting in the system. Your researchers can ask you to add projects to their MyBalance account so you can work together to plan expenditures and keep track of your spending plans. You also control access for researchers and their collaborators.
Giving access to MyBalance
If you are a Management Accountant or Senior Management Accountant, your Finance Manager can give you access to the UniFi Project Access tool to allow you to give MyBalance access to users.

As a Management Accountant, you can learn how to set up and operate MyBalance and provide project support to your researchers.
