Accessing UniFi
UniFi (staff login required) is our University-wide financial processing system.
You must use UniFi to process and record financial data. This enables monitoring, administration and reporting (via the UQ Reportal) on core financial information to support budgetary management and control.
Contact Finance Client Support Services to discuss enhancements, integration or functionality requirements for UniFi. Technical enhancements are prioritised and planned each quarter.

Default access for all staff
All staff members with a UQ username have access to create requisitions in UniFi.
There’s no training required for default access, but we strongly recommend you complete any relevant UniFi online training which is accessed via the Finance Topic within Workday. Use the search functionality to locate your relevant course.
Additional access
If you need additional access for a particular UniFi role or task (for example, you are a UQ Finance staff member), you must complete any required training and apply for access.
Step 1: Talk to your Finance Professional Services team
Talk to your Finance Professional Services team to determine the specific access you need for your role or the tasks you need to complete.
Step 2: Complete the training
If training is required for the tasks or role you need in UniFi, you must:
- complete the training
- achieve the minimum required score in the Training Success Meter (TSM) for each required course to measure your understanding of processes and ability to complete tasks in UniFi.
For some tasks or roles, training isn’t required, but we strongly recommend you still complete any relevant UniFi online training which is accessed via the Finance Topic within Workday.
- Check the UniFi user access form (staff login required) for the training required for the role you’re applying for. Please note some roles are assigned to Finance staff only as indicated on the UniFi user access form (staff login required).
- If training is required, complete each course through the Finance Topic within Workday.
- When you’re ready, complete the required TSMs which will be Lesson 2 within the relevant Finance Topic within Workday. When you achieve the minimum score of 90 out of 100, contact your Finance Professional Services team to let them know.
Step 3: Apply for access
Request access through my.UQ (staff login required). The UniFi User Access Form must be completed online for additional access and can be completed by anyone on behalf of the applicant.
After you submit the request it will be sent to your Finance Professional Services team for Finance roles, ITS for IT Approver role or HSW for Drugs Officer and Controlled Substances Officer roles, who will review it and forward it on for processing. You'll receive an automated email as each stage of the process is completed. The full process is outlined on the request form.
Changing or removing access
Request access changes through my.UQ (staff login required). If you’re applying to change your access, make sure you:
- talk to your Finance Professional Services team about the access you need for your role
- complete any training required for the new access, including any related Training Success Meters.

Financial delegation
You can apply for financial delegation using the same UniFi user access form.

Budget holders
To change an operational unit budget holder: contact your Finance Advisory Professional Services team.
If other changes to operational unit details are also required, you can change the operational budget holder using the new chartfield/op unit change request form (includes budget holder) (DOC, 63KB).
