Getting access to Drupal 7 websites
This guide is for Drupal 7 (UQ Standard) sites. If you're working on a site built in the new version of Drupal (like Study or Scholarships), see getting access on new Drupal.
Each UQ website is managed by an approved group of editors, reviewers, site coordinators and site builders who work together to maintain and create content.
All these roles require Drupal access. If you're a UQ staff member, you can request Drupal access if you have:
- completed the required Drupal training, and
- sought approval your Digital Presence Coordinator. For central sites (Campuses, my.UQ, Current staff or COO), your request will also be reviewed by the Marketing and Communication Web team.
Once you complete the relevant training, follow the instructions on the training page to request access.
Changing your existing Drupal 7 access
If you've already completed the required training and need to add to or change your existing Drupal 7 access:
- Identify which sites you want to update and note their URLs.
- Find the Digital Presence Coordinator for your area.
- Ask your Digital Presence Coordinator to email webservices@uq.edu.au to request your access to the sites you identified. Ensure they include:
- your UQ username
- the URL of each site you want access to
- a list of pages or sections you’ll be editing
- the level of access you need
- the Drupal training you've completed.
Drupal training
There are two training courses available:
The course you have to complete depends on which Drupal role you will perform. Each role has different access levels in Drupal.
Drupal roles and their required training are listed below. These roles are for UQ Standard Drupal:
Editor
Editors are responsible for creating and maintaining content.
An editor can:
- add, edit and delete all content types in the Drupal 'Content' menu
- edit existing content in panel pages
- save content as 'Draft' or 'Needs review' (when workflow moderation is switched on).
An editor can't:
- create or delete panel pages
- edit the layout of panel pages.
Required training
Reviewer
This role isn't used on most sites – it's only available on sites that have workflow moderation switched on.
On these sites, 'Reviewer' is an add-on role to editor – it isn't given out on its own.
A reviewer can:
- do everything an editor can, plus
- review content that has been saved as 'Draft' or 'Needs review', and
- save content as 'Approved to publish'.
A reviewer can't:
- create or delete panel pages
- edit the layout of panel pages.
Required training
Site coordinator
Site coordinators are responsible for creating and maintaining content. They have expanded content permissions compared to editors and can act as a first point of contact for any questions from editors.
A site coordinator can:
- add, edit and delete all content types in the Drupal 'Content' menu
- edit existing content in panel pages
- add and delete taxonomy terms
- administer URL redirects
- publish content (when workflow moderation is switched on).
A site coordinator can't:
- create or delete panel pages
- edit the layout of panel pages
- create or delete taxonomy vocabularies.
Required training
Site builder
This is the highest role available to UQ's web editing community. It's only given to a few qualified people in each work area.
A site builder can:
- do everything a site coordinator can, plus
- create panel pages
- create mini panels, and
- add components to panel pages and mini panels.
