Timesheets

You do not have to complete a time sheet if you are:

  • a professional employee at HEW level 8 and above
  • an academic employee.

There is no fixed span of hours for employees HEW Level 8 and above, unless specified within the Enterprise Agreement and there is no requirement to record hours of work.

Overtime and Time Off In Lieu (TOIL) - Professional HEW 8 Employees only

For employees classified at HEW Level 8, where you are required to work beyond your work schedule, you are eligible for time off in lieu. Please note this should be pre-approved by your supervisor via a Pre-approval to work overtime request in Workday prior to working the hours.  In accordance with the Enterprise Agreement, the time off in lieu will accrue at the equivalent overtime rate, or where agreed between the University and the employee, be eligible to be paid out on a time for time basis only.

You may accumulate up to a maximum of five (5) working days as TOIL at any time (pro-rata for part time staff) and this should be taken at a mutually agreed time, normally within thirty (30) days of accrual.

To find out about the requirements for overtime and TOIL for HEW 8 employees, see the:

Overtime and Time Off In Lieu (TOIL) - Professional HEW 8 Employees only

For HEW 8 employees that are required to work overtime, the arrangement must be pre-approved by your supervisor before you work the additional hours.

Visit the My Work Arrangements page on the Systems Training Hub for the Pre-Approval to Work Overtime Request Guide.

To have your overtime hours paid out, you must submit an overtime claim form (PDF, 1.5MB) once your overtime has been approved and you have completed the hours.

If you have arranged with your supervisor for your overtime to be recorded as Time Off In Lieu (TOIL), you will need to submit an Absence Request in Workday when taking any TOIL.
