Every UQ staff member is provided with an Outlook email address. Accounts are supplied and managed by Information Technology Services.

There are two ways you can check your UQ email. You can access emails:

  1. on any device through the Outlook Web App in the my.UQ dashboard
  2. via a program installed on your computer or device.

All users follow the same instructions for setting up the Outlook Web App. To set up email via a program on your device, follow the instructions for your operating system.

Windows users should set up their email through Outlook 2016. You can read the steps below or watch a video guide:

Steps may be slightly different on your screen, depending on the version of Windows you are using.

Outlook 2016

Set up email for the first time

An account set-up wizard will walk you through the process:

  1. Open Outlook 2016.
  2. Click 'Next' when the welcome greeting appears.
  3. On the ‘Add an Email Account' screen make sure ‘Yes’ is selected and click 'Next'.
  4. In the 'Email Address' field enter your UQ username using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Click 'Next'.
  5. Enter your UQ account password, then tick 'Remember my credentials' and click 'OK'.
  6. Wait for Outlook to set up your account. This may take a few minutes. If the Single Sign-on screen appears during the set-up process, enter your UQ account username and password and click 'Login'.
  7. When 'Congratulations!' message appears click 'Finish'.
  8. You can now open Outlook and your emails will start downloading.

Set up after changing your account

If you have changed your email address, name or you have a problem with Outlook that can’t be fixed another way, you may need to remove your account and set up Outlook again.

  1. Contact the ITS Service Desk to remove your profile.
  2. After your profile has been removed, open Outlook.
  3. Enter a profile name and select 'OK'. This profile name can be anything.
  4. In the 'Email Address' field enter your UQ username using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Click 'Next'.
  5. Wait for Outlook to set up your account. This may take a few minutes. If the Single Sign-on screen appears during the set-up process, enter your UQ account username and password and click 'Login'.
  6. When 'Congratulations!' message appears click 'Finish'.
  7. You can now open Outlook and your emails will start downloading.

Steps may be slightly different on your screen, depending on the version of iOS or macOS you are using.

iOS for iPhone and iPad

Outlook

  1. Open the Outlook app.
  2. Enter your UQ account username in the 'Email' field using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au.
  3. Tap 'Add Account'. You'll be taken to the UQ Single Sign-on portal.
  4. Enter your usual UQ account username and password and tap 'Login'.
  5. Follow the prompts to finish setting up your account.

Mail

These instructions are for iOS 11.0.

  1. Open the settings app on your device (cog icon) and select 'Accounts and Passwords'.
  2. Tap 'Add Account', then 'Exchange'.
  3. Enter your UQ account username in the 'Email' field using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au.
  4. Enter a description of the account in the 'Description' field, then tap 'Next'.
  5. Tap 'Sign In'. You'll be taken to the UQ Single Sign-on portal. Enter your usual UQ account username and password and tap 'Login'.
  6. Select the apps you want to sync with your email account and tap 'Save'.

macOS for Mac

Outlook 2016

  1. Open Outlook 2016.
  2. Enter your UQ account username in the 'Email' field using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Select 'Continue'.
  3. Enter your UQ username and password and click 'Login' to continue.
  4. Follow the prompts to complete the email account setup. Once setup is complete, click 'Done'.

Mail

This guide is current for macOS Sierra 10.12.6.

  1. Open Mail.
  2. A prompt should appear. Select 'Exchange' and click 'Continue'. If the prompt doesn't appear, go to the 'Mail' menu at the top of your screen and select 'Add Account'.
  3. Enter your UQ account username in the 'Email Address' field using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Enter your preferred name and your usual UQ account password and click 'Sign In'.
  4. Select the apps you want to sync with your email account and click 'Done'.

Steps may be slightly different on your screen, depending on the version of Android you are using and your device.

Outlook

  1. In Outlook, open 'Settings' and select 'Users and Accounts'.
  2. Tap 'Add Account', then 'Add an email account'.
  3. Enter your UQ account username in the email address field, using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Tap 'Continue'.
  4. On the new screen, enter your UQ account username in the 'Email' field – again using the format username@uq.edu.au – and enter your usual UQ account password.
  5. Tap 'Sign In'.

Gmail

  1. In Gmail, open 'Settings' and select 'Users and Accounts'.
  2. Tap 'Add Account', then 'Exchange'.
  3. Enter your UQ account username in the email address field, using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Tap 'Next'.
  4. Enter your usual UQ account password and tap 'Next'.
  5. Tap 'Next' again on the following screen.
  6. Select 'OK' if a 'remote security administration' notice appears.
  7. Tap 'Next' to complete the setup.

Most modern email software will automatically configure your mail server settings when you enter your UQ account information.

If your email software is older, you can manually enter mail server settings by using the following IMAP information:

  • Server name: outlook.office365.com
  • Username: uqusername@uq.edu.au
  • Port: 993
  • Encryption method: TLS

SMTP setting information will appear automatically. POP settings are disabled by default.

To set up webmail in the my.UQ dashboard for the first time:

  1. Go to portal.office.com
  2. Enter your UQ account username in the email address field, using the format username@uq.edu.au. For example, uqjblog3@uq.edu.au. Click ‘Next’.
  3. The Single Sign-on screen will appear. Enter your UQ account username and password and click 'Login'.
  4. Answer the 'Stay signed in' question. If you use a shared computer, it's safest to answer 'No'.
  5. Select ‘Outlook’ from the list of apps.
  6. Select your location and language settings.
  7. Click ‘Save’ to complete the process.

Once you've finished, clear your browser cache before logging in to the my.UQ dashboard.
