Overview

Central sites are organised around topics, rather than organisational structure. A topic-based approach ensures our websites are:

  • user centred
  • not affected by changes to organisational structure.

All central websites must also comply with best-practice web accessibility, content and usability guidelines.

Current staff

The Current Staff site is the first port of call for all UQ staff. Our aim is to bring together core online information UQ staff may need to do their jobs effectively.

The University is continuing to migrate content from relevant websites into Current Staff.

my.UQ is the main website for all current UQ students, including HDR students. my.UQ provides easy access to student information, including the personalised my.UQ dashboard.

Migrating into a central site

Many UQ websites have been decommissioned and migrated into our central sites.

Submit an IT request if you think your site could be migrated. We can discuss your options with you.

Some sites aren't suitable for migration and will remain stand-alone websites. If your website is suitable for consolidation into a central site, there's a process for migrating content.

Content migration process

A content migration is a joint effort between the website owner and Information Technology Services (ITS). Scheduling a migration depends on the resources available in both ITS and your department.

The project team is usually made up of members from both ITS and the organisational unit.

Within ITS:

  • senior web coordinator
  • digital content producers.

Within the organisational unit:

  • senior stakeholder
  • primary liaison
  • subject-matter experts.

Key activities

There are several key activities during a content migration:

  1. Hold a kick-off meeting.
  2. Outline a project plan.
  3. Content audit of site being migrated.
  4. Estimate timeframes needed for content development.
  5. Finalise the information architecture.
  6. Rewrite content according to UQ style and web best practices.
  7. Subject-matter experts review content for factual accuracy and provide approval.
  8. Publish content to the centralised website.
  9. Redirect the old site to the central site.
  10. Decommission the old site.

We will work collaboratively with you throughout the project.

Updating and maintaining content

Central websites use a publishing workflow that lets you edit your content after it is migrated.

The workflow includes an oversight step performed by the central ITS digital content team.

Organisational unit

On central sites, organisational units have access to the following Drupal roles:

  • Editor
  • Reviewer.

You have to complete the required training to receive Drupal access.

ITS digital content team

The ITS digital content team reviews and publishes content on centralised websites. They ensure content:

Publishing workflow

Approved editors and reviewers are given access to relevant pages on centralised websites. All content updates progress through the following publishing workflow:

  1. Draft: Editor in your department makes a content update.
  2. Needs review: Reviewer in your department checks content for accuracy.
  3. Approved to publish: ITS reviews content according to style and web standards.
  4. Publish: ITS publishes the content update.
