CloudStor is AARNET's cloud-based file storage service and is designed specifically for researchers.

AARNET will be decommissioning CloudStor on Friday 15 December 2023. For further information, please visit the CloudStor website.

All UQ staff have access to 1TB storage in CloudStor, which can be used to save, access and share files.

Using CloudStor

The information below covers the basics for using CloudStor. For further advice, see CloudStor Help.

Accessing your files

Use the left-hand menu to access your files. Your files are grouped into the following categories:

  • All Files: contains all the files you have stored in CloudStor. This doesn't include files uploaded through FileSender.
  • Favourites: contains files and folders you have marked as favourites.
  • Shared with you: contains files and folders shared with you by other CloudStor users.
  • Shared with others: contains files and folders you have shared with other CloudStor users.
  • Shared by link: contains files and folders that you have shared using a link.

Uploading a file

To upload a file to CloudStor:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Click the orange icon at the top of the screen and select 'Upload'.
  5. Select the file you want to upload and click 'Open'.

Creating new files and folders

To create a new CloudStor file or folder:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Select the orange icon at the top of the screen.
  5. Select either 'Text file', 'Document' or 'Folder', depending on the new item you want to create.
  6. Enter a name for your new file or folder.
  7. Press 'Enter' on your keyboard.

Downloading files and folders

To download CloudStor files or folders:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Find the file or folder you want to download.
  5. Select the icon next to the file or folder you want to download.
  6. Select 'Download' from the drop-down menu.

Sharing data or a file

To share a CloudStor file or folder:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Find the file or folder you want to download.
  5. Select the icon next to the file or folder you want to download.
  6. There are two options for sharing files and folders:
    • If you want to share the file or folder with another CloudStor user, enter their email into the 'Sharing' field.
    • If you want to share the file or folder with someone who doesn't use CloudStor, select the 'Share link' box. This will create a link you can email to anyone you want to share the file with. To prevent unauthorised access, we recommend you select the 'Password protect' box and create a password for accessing the document.

Deleting data

To delete a CloudStor file or folder:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Find the file or folder you want to delete.
  5. Select the icon next to the file or folder you want to delete.
  6. Select 'Delete' from the drop-down menu.

Once you select 'Delete', all files and folders are moved to the 'Deleted Files' bin for 30 days. Deleted files and folders are permanently deleted after 30 days.

Viewing recent activity

To view recent activity:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Select 'Activity' from the toolbar at the top of your screen.

Sending large files

The FileSender service can be used for sending large files:

  1. Go to the FileSender website.
  2. Select 'Login to FileSender'.
  3. Select 'The University of Queensland' as your institution.
  4. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  5. Select 'Select Files', then select the files you want to send.
  6. Enter the email address of the person you want to send the file to.
  7. Enter an expiry date. On this date, FileSender will automatically delete the file from their server.
  8. Select 'Send'.

Receiving files

You can use FileSender vouchers to allow anyone to send you files of all types and sizes. To send a voucher:

  1. Go to the CloudStor website.
  2. Select 'The University of Queensland' as your institution.
  3. You will be redirected to UQ's Single Sign-On page. Enter your UQ username and password.
  4. Select 'FileSender' from the top of your screen.
  5. Select 'Vouchers' from the side menu.
  6. Enter the email address of the person you want to send the voucher to.
  7. Enter an expiry date. On this date, the voucher will expire.
  8. Select 'Send Voucher'.

The person will receive an email with a link to FileSender, allowing them to send files to you.

Syncing files

To sync files from CloudStor to your device:

  1. Open the CloudStor app you downloaded when you first set up CloudStor. If you haven't installed an app on your computer or device, you can still download the app from the ownCloud website.
  2. In the 'Server' field, enter https://cloudstor.aarnet.edu.au/plus
  3. Select 'Next'.
  4. Enter your UQ username and the sync password you created when you first set up CloudStor.
  5. Select 'Next'.
  6. Make sure 'Sync Everything' is selected.
  7. Select 'Connect'.

Recovering data

If you have accidentally deleted or lost data in CloudStor, submit an IT request. Include the following information in your request:

  • your UQ username
  • the file path of the documents you want recovered
  • the date to which you want the documents recovered to.
